Objective:
Lupin aimed to host three consecutive conferences to bring top educational materials from the ACG conference to India, providing Indian doctors access to the latest developments in gastroenterology. The events targeted approximately 1,500 attendees, necessitating seamless management of logistics, venue arrangements, registration, and attendee engagement.
Concept:
The initiative involved a core lead team traveling across the three cities, supported by local teams for execution. Each conference featured live photo booths, dual registration desks, and large stages equipped with LED screens for presentations. Emphasis was placed on creating a professional environment with consistent branding across all materials.
Execution:
The series began in Hyderabad, followed by Mumbai, and concluded in Delhi. Despite an unexpected increase in attendance (over 600 participants in some instances), instant badge printing and QR code scanning ensured smooth registration. The Delhi stage featured thematic decor and branded materials, reinforcing the event's identity.
Results:
The conferences successfully attracted over 2,200 doctors, featured five sessions each day with international and local faculty, and distributed more than 2,200 gifts. Over 1,800 live photos were printed and shared with attendees. The initiative significantly enhanced knowledge sharing and networking within the gastroenterology community, setting a new standard for future medical conferences. The meticulous planning and execution exceeded Lupin's objectives, leaving a lasting impact on all participants.
